Rental Terms
All vehicle rentals are governed by a comprehensive Rental Agreement, which you will receive upon booking confirmation or at the time of vehicle pickup. This document outlines the terms, conditions, insurance coverage, fees, and your obligations related to the rental. In case of any discrepancies between these Terms and the Rental Agreement, the Rental Agreement will prevail.
Eligibility Criteria
Rental Vehicle Requirements
- To hire a vehicle from Hayes, you must be at least 21 years old, though age restrictions may vary depending on the vehicle type, with potential extra fees for drivers under 25. A valid, full driving licence for the appropriate vehicle category is required, maintained for the minimum duration outlined in the Rental Agreement. You will also need to present valid identification and proof of your current address, along with payment information and a security deposit. Additional requirements detailed in the Rental Agreement must also be met.
Reservations and Payments
- Reservations can be made via our website, by telephone, or directly at our Dartford office. A deposit may be necessary to confirm your booking. The total payment, along with a security deposit, is generally required at the time of vehicle pickup. All prices are listed in British Pounds (£) and include VAT where applicable. Major credit and debit cards are accepted, processed securely through trusted payment providers.
Vehicle Pickup and Drop-off
- At the time of collection, please conduct a thorough inspection of the vehicle and report any pre-existing damage without delay. A vehicle condition report will be created and must be signed at this time. It is your responsibility to return the vehicle in the same condition as it was received, accounting only for normal wear and tear. Any new damage will be evaluated and costs will be applied accordingly. Ensure the vehicle is returned with the same fuel level as when it was collected; refueling charges will be incurred if the fuel level is lower. Late returns may result in additional fees, so please inform us promptly if a delay is expected. You will also be liable for any parking tickets, traffic violations, or other charges that occur during the rental period, along with an associated administration fee.
Insurance and Responsibility
- All rentals include basic third-party insurance. You will find comprehensive coverage details and excess amounts outlined in the Rental Agreement. Additional insurance options may be offered to lower your financial liability. Please review these options thoroughly. You remain liable for any damage or loss up to the excess amount, unless additional insurance is purchased. Damage resulting from negligence, misuse, or violation of these Terms is your responsibility, regardless of insurance coverage.
6. Modifications and Cancellations
Cancellation and amendment policies differ depending on the type of booking and the notice period provided. For precise details, please consult your booking confirmation or Rental Agreement. Be aware that late cancellations or no-shows may incur additional charges.
Prohibited Activities
Prohibited Uses of Rental Vehicle
- The vehicle must not be used for any illegal activities, including racing, rallying, or off-road driving. Transporting hazardous materials or sub-letting to unauthorized individuals is prohibited. Driving under the influence of alcohol or drugs is strictly forbidden. Additionally, the vehicle should not be used for purposes outside its intended design, nor should passenger or weight limits be exceeded. Operating the vehicle beyond the agreed geographical boundaries requires prior authorization.
Breach of these terms may lead to rental cancellation and extra fees.
8. Liability Restrictions
To the fullest extent allowed by English and Welsh law, Hayes Car Hire will not be responsible for any indirect, incidental, special, or consequential damages, including loss of profits, data, or business, resulting from your use of our services. Our total liability for any claims is limited to the amount paid for the rental in the previous 12 months. This limitation does not affect our liability for death or personal injury due to negligence, or for fraudulent activities.
Governing Law Guidelines
These Terms are regulated by English and Welsh law. Any disputes will be resolved exclusively in the courts of England and Wales.

Hayes reserves the right to update these Terms at any time. Changes take effect immediately upon posting on our website. Continued use of our services signifies your acceptance of the revised Terms.
